Description
It would be very useful to have a built-in Time & Attendance, Time Tracking, and Vacation/Leave Management system in Windshift.
In Spain, companies commonly need to record employees' working hours (fichaje) as well as the time employees spend working on specific tasks or projects (imputación de horas). It would also be useful to manage vacation requests and employee availability directly within Windshift.
Similar functionality can be found across tools such as Jira (Time Tracking / Work Logs) and dedicated HR/time-management applications.
1. Time & Attendance
Allow employees to record their working time:
- Clock in / Clock out
- Start and end of breaks
- Daily working hours
- Weekly/monthly working hours
- Overtime
- Missing or incomplete working time
- Attendance history
For example:
| Employee |
Clock In |
Break |
Clock Out |
Total |
| John Smith |
08:05 |
14:00–15:00 |
17:15 |
8h 10m |
A dashboard could show:
Today's working time: 8h 10m
Status: Working
2. Time Tracking / Work Logging
Allow users to record the amount of time spent working on specific tasks, projects, or other work items.
For example:
| Date |
Task / Work Item |
Project |
Description |
Time |
| 24/08/2026 |
Prepare laptop |
IT Support |
Windows installation and configuration |
2h |
| 24/08/2026 |
Configure firewall |
IT Infrastructure |
Firewall configuration |
1h 30m |
| 24/08/2026 |
Asset management |
IT Support |
Updating asset inventory |

| 24/08/2026 |
Team meeting |
Internal |
Weekly IT meeting |
1h |
| Total |
|
|
|
6h 30m |
Ideally, users should be able to:
- Start/stop a timer directly from a task.
- Manually add or edit a time entry.
- Associate logged time with a task, project, board, or other work item.
- Add a description/comment explaining the work performed.
- View all logged time for a task.
- View logged hours by day/week/month.
- Edit or delete time entries when permitted.
- Export time entries for reporting purposes.
This would provide functionality similar to Jira's "Log Work" / Time Tracking feature.
It would also be useful to compare attendance with logged work:
| Employee |
Working Time |
Time Logged |
Unallocated |
| John Smith |
8h 10m |
7h 30m |
40m |
This could help identify time that has been worked but not assigned to a task or project.
3. Vacation / Leave Management
It would also be useful to have a built-in Vacation / Leave Management system.
Employees should be able to submit vacation or leave requests through Windshift, with an approval workflow where the request is sent to their manager.
Request workflow

Employee functionality
Employees should be able to:
- Submit a vacation/leave request.
- Select start and end dates.
- Specify the type of leave.
- Add a comment/reason if required.
- View the status of their requests.
- Cancel pending requests.
- View their previous vacation/leave history.
- See their remaining available vacation days.
Manager functionality
Managers should be able to:
- View pending requests from their employees.
- Approve or reject requests.
- Add a comment when approving/rejecting.
- See their team's planned absences.
- Receive warnings about overlapping absences where appropriate.
4. Vacation / Absence Calendar
A shared Vacation / Absence Calendar would be particularly useful.
It should allow authorized users to quickly see who is currently on vacation and who will be absent in the future.
For example:
| Date |
Employees on vacation |
| 01/09/2026 |
John Smith |
| 02/09/2026 |
John Smith, Maria Garcia |
| 03/09/2026 |
John Smith, Maria Garcia |
| 04/09/2026 |
Maria Garcia |
| 05/09/2026 |
John Smith |
A calendar view could also display:
- 🟢 Approved vacation
- 🟡 Pending requests
- 🔴 Rejected requests
- Current absences
- Upcoming absences
- Employee return dates
A dashboard widget could show:
People on vacation today: 3
John Smith · Maria Garcia · Peter Jones
5. Integration Between the Features
Ideally, these features should be interconnected rather than being separate systems.
For example:
Time & Attendance
Employee worked 8h 10m
↓
Time Tracking
7h 30m assigned to tasks
↓
Unallocated
40m
And if the employee is on approved vacation:
Vacation: 01/09/2026 – 05/09/2026
Status: Approved
The employee should not be expected to clock in or record working hours during approved vacation days.
Benefits
Having these features integrated into Windshift would make the platform more useful for companies that need:
- Employee time & attendance
- Task/project time tracking
- Work logs
- Timesheets
- Vacation and leave management
- Team availability
- Employee workload planning
- Basic HR/time reporting
It would also reduce the need for separate applications for working hours, spend working on specific tasks or projects, timesheets and vacation management, while keeping the information connected to Windshift's existing users, projects, tasks and boards.
