Would like to evolve this to include Otter.ai and other note taking AI utilities.

I agree with @jenstrickland, I think this should include both Zoom's built-in features and AI bots that participants may add to zoom meetings.

We need this text expanded beyond only Zoom features. Are we allowed to add a new PR?


Zoom provides the ability to make recordings. If this feature is used, it must be with the consent of the meeting participants. Chairs have the responsibility to ensure that participants are aware that they are being recorded whenever this feature is used. Recordings are made available after the end (could take a few hours) using an email notification to the meeting host, and can only be shared by default to individuals with a W3C Zoom account. We're looking into providing additional recommendations to make those videos available through other means.

Zoom and other teleconferencing tools used by W3C groups now typically provide the ability to make recordings and to create AI transcriptions and/or summaries. If these any of these features are used, it must be with the consent of the meeting participants. Chairs have the responsibility to ensure that participants are aware that they are being recorded whenever this feature is used. Recordings are typically made available shortly after the meeting ends (could take a few hours) via an email notification sent to the meeting host. Sometimes, these can only be shared to individuals with a W3C-associated account with the feature provider. We're looking into providing additional guidelines to make those videos, transcriptions, and/or summaries available through other means.

Thanks for the feedback Ted. Since this is a page about Zoom, I don't think it makes sense to mention "other teleconferencing tools".
The part about W3C is referring to individuals with a W3C Zoom account, and I think the proposed wording sounds like anyone with a W3C account. Are you comfortable reverting to the original wording for that sentence?

Should I open a separate ticket to include tools other than Zoom such as Otter.ai Notetsker?

@TzviyaSiegman — Maybe this document should be renamed, and the whole text therein revised, to include all recording and transcribing conference tools in common use by W3C Groups (currently including at least Zoom, Jitsi, and Teams; WebEx has historic use, but I think it's use has been deprecated by all groups at this point?; I believe transcription may be handled by various AI providers, even when Zoom is the recorder)...?

I can think of no reason why any of these tools should require its own policies.
